How to Run a Successful Event

Business-Event.jpgWhether your event is for education, promotion or a celebration, there are certain elements which need to be managed to ensure the event is a success.

There are so many hidden details behind a truly successful event, but to get you started we’ve provided a list of Top Things you need to pay attention to.  If you make the following a priority, you will have the best chance of impressing your attendees, and creating a marketing success story:
 
  1. Planning
Start your planning as early as you possibly can.  It may even be a good idea to put together an Event Business Plan detailing your event budget, expected return-on-investment, the target delegates, the event objectives, and the agenda and timescale.
 
This is where Checklists and Spreadsheets can be your best friend – use them, update them regularly and share them with all involved.
 
  1. Budget
Having an understanding of your budget for the event, is very important and will guide your planning.  If you are on a limited budget, you may consider giving other businesses a chance to sponsor your event.  They can make a cash donation or provide goods or services.
 
For example, if the tables need floral arrangements, you might be able to negotiate a discount if you offer to distribute the florist’s business cards, and include their logo on the program.
 
  1. Marketing
Start promoting your event as soon as you can.  Send out a press release, invitations, post the event on your website, your Facebook page, and Twitter feed.  This is something that is not just done once, you will need to do this regularly leading up to the event.
 
Consider any identification or promotional items you need for your staff and delegates.  You may need name badges, lanyards, ID cards, invitations or you may consider providing wristbands to easily identify attendees.  At the event you can promote your business and/ or your sponsor with custom branded items such as bags, pens or even key rings.
 
  1. Know your Team
todo.jpgThe more people you have helping at the event with specific tasks to accomplish the easier the proceedings will be.  Make sure you have adequate help leading up to the event, and plenty of people to assist with greeting guests, managing VIPS, and looking after the technical bits and pieces. 
 
Again, checklists and contact lists can really assist to keep everyone communicating and the event following smoothly.
 
  1. Post-Event
Now your event has finished, you need to still keep some momentum going.  Send a Press Release promoting the success of your event.  Share photos online.  Put a write-up in your Newsletter.  Send attendees a Thank You note, and ask for feedback.
